💻 Starting point: Your tenant space

The first thing to do is to access your tenant space via the email you used for your booking. This is your main source of information, where you'll find:

  • Essential documents:

    • Your contract and many useful documents (CAF Certificate, proof of residence...)

    • Information about your payments and invoices

    • Instructions and practical information

    • Information about your flatmates - don't hesitate to contact them

    • Help Center to answer your questions and contact us if needed

Take time to browse through it, this information is valuable for your move-in and stay!

📋 Preparing your arrival

To ensure your move-in goes smoothly, here's the list of essential elements:

  • Required documents:

    • Electronically signed contract

    • Security deposit and application fees paid (if applicable)

    • Home insurance certificate

  • Contact with your flatmates:

    • Even though we notify them of each new move-in, contact them to introduce yourself

    • Plan to arrive between 9am and 6pm on weekdays for everyone's convenience.

📝 Your check-in inventory

  • For more comfort and simplicity, you will complete it independently upon arrival. To do this:

    1. Log in to your tenant space upon arrival. You will find a task to complete on the "Overview" homepage.

    2. Click and complete the form until validation.

    • Allow about 40 minutes.

    • Completing this is mandatory - See our dedicated article. Without your validation within 48 hours after moving in, you will be deemed to have received the room in very good general condition and any damage could be attributable to you - take time to complete it thoroughly.

Exception: You are the first to arrive in a flatshare. In this case, an inventory will be scheduled with our partner Check & Visit

🔑 Where are your keys?

Consult arrival instructions in your tenant space

  • Two options:

    1. Flatshare: Key available at Keynest collection point

    • At the time of booking, our team informs you if your flatshare is part of this process. If so:

      • ⚠️ You will receive instructions allowing you to collect your keys from a collection point before going to the apartment. These instructions include a link allowing you to know the location and opening hours of the collection point - check this information carefully.

      • ⚠️ If this link indicates that "your keys are not available" at the collection point 24 or 48 hours before your arrival, please contact us via your tenant space with subject "URGENT - My keys are not at the collection point" - our team will check if this is consistent.

      • Once at the collection point, you must provide the collection code available by clicking the link for them to give you the key.

      • You can now go to the accommodation address.

      • You will find all access details to your accommodation in the "practical info" -> "Arrival instructions" section of your tenant space. If this isn't clear enough for you, don't hesitate to contact us.

    • At the time of booking, our team informs you if your flatshare is part of this process. If so:

      • Check all access details to your accommodation in the "practical info" -> "Arrival instructions" section of your tenant space. If this isn't clear enough for you, don't hesitate to contact us.

      • ⚠️ Your keys are inside the accommodation. Therefore, you need to communicate with current flatmates to access the apartment.

      • ⚠️Don't wait to contact them to plan your arrival by finding their information in the "My flatmates" tab of your tenant space.

      • ⚠️ If you can't reach them, don't hesitate to contact us so we can find a solution.

💳 Payment

  • The first rent is due on your arrival day. Don't worry if you haven't received your first month's rent invoice yet, it will be issued on the effective date of your lease.

  • Your first month's rent will be prorated if you contractual lease start date is not the first day of the month and this is regardless of your arrival date.

  • You'll find the payment bank details on your tenant space. It is unique to each tenant, don't share it and don't try to use another tenant's.

  • We recommend setting up automatic payment. In this case, remember to top up your account every month.

  • In case of non-payment, you will receive payment reminders after a few days to regularize the situation.

☔ Insurance

  • Colonies does not subscribe to your home insurance so don't forget to subscribe to it. Having your certificate is mandatory before moving into the accommodation.

  • You must upload your certificate to your tenant space - tab "My documents"

🛏️ Prepare your move-in

Your accommodation is furnished but there are some essentials to bring:

  • For the bed:

    • Sheets for 140x200 bed (standard size)

    • Pillowcases 60x60

    • Duvet cover 220x240

    • Mattress protector (strongly recommended)

  • For your comfort:

    • Towels

    • Basic cleaning products

    • Personal belongings

⏰ Your first 48 hours

The first hours in your accommodation are crucial and we really want everything to go well. Here's some information:

  • Practical installation:

    • The WiFi code can be found either in your tenant space "Practical Information" or directly on the box.

    • Identify common equipment and ask flatmates how they work.

    • Meet your flatmates

📱 Communication and daily life

Your tenant space will be your main tool:

  • Essential features:

    • Report technical problems

    • Messages to Colonies team

    • Access to practical information

  • Help Center:

    • Have a question? Visit our help center from the "Help Center" tab. You'll find lots of information sorted by category and guidance if you encounter a problem.
