I've lost my badge

🔍 Problem identification

  • Type of loss:

    • Lost badge (building access, parking, bin room)

    • Theft

    • Available spare badge

  • Points to specify:

    • Place of loss

    • Circumstances

    • Other possible access

    • Identified risks

⚡ What to do?

  • Immediate actions:

    • In case of theft:

      • File a police report

      • Contact Colonies to deactivate the badge, give you access to a new one and arrange replacement

      • Secure access

      • Use your digital access via Smartphone if possible

    • In case of loss:

      • Check all possible places (bag, clothes, washing machine, furniture...)

      • Contact your flatmates for access - their contact details are in your client portal

      • Contact Colonies to deactivate the badge and get a new one

  • Do not:

    • Do not try to copy another badge

    • Do not use an unauthorized badge

    • Do not lend your badge to outsiders

    • Do not force the lock

📱 How to report the problem?

  • Through your tenant portal:

    • Category: "Technical Assistance - Locks"

    • Specify:

      • Circumstances of loss

      • Type of badge lost

      • Urgency of situation and available short-term solutions

  • Documents to provide:

    • Requester's identity

⏰ Intervention timeframes

  • Urgent situation if you're locked out:

    • In some residences, possibility to give temporary access to your unit to one of your flatmates to retrieve belongings

    • Possibility to get a temporary badge if available

  • Standard replacement:

    • Dependent on badge availability

    • Programming required

💰 Who covers the costs?

  • Tenant's responsibility:

    • Badge replacement

    • Programming fees

    • Any intervention performed without written authorization from Colonies

⚠️ Warning

  • Prevention:

    • Keep your spare badge in a different place

    • Never lend your badge

    • Report any loss immediately for security reasons

  • Response:

    • Contact our Emergency services if you live in Coliving or in a large residence, are locked out and need urgent access to your accommodation - we will try to help you remotely

  • Security:

    • Lost badges will be deactivated
