💻 First step: Give your notice through your tenant space

The first thing to do is to give your notice through your tenant space:

  • Log in to your space

  • "Overview" section

  • Click on "End my stay"

  • Follow the steps until validation. Enter your lease end date respecting the notice period specified in your contract and indicate your desired departure date (you can modify it later and up to 15 days before the contract end date)

📋 Prepare your departure

For a smooth departure, here's the checklist of actions to take:

    • Make sure that the departure date indicated on your space is the correct one

    • Check that no invoices are pending or unpaid

    • Plan ahead for cleaning your accommodation and removing your belongings

📝 Check-out inventory

  • Prepare it:

    • Clean your room

    • Remove your belongings, no personal items should remain

    • Perform small repairs and maintenance to avoid any disputes

  • Complete it:

    • It is mandatory

    • You can access it up to 2 days before your departure directly on your tenant space - ‘Overview’ tab -> ‘Complete my inventory’.

    • Then, the room must be locked and you must leave the accommodation

🧹 Required cleaning

  • In your room:

    • Complete floor cleaning

    • Dusting of furniture and closets

    • Removal of all personal belongings

  • In common areas:

    • Remove your items from the refrigerator

    • Empty your locker/cupboard

    • Clean your assigned spaces

    • Leave nothing in common areas

🔑 Key return

Return procedure:

Follow the procedure indicated in your tenant space - "Practical information"

  • Option 1: Drop off your keys at a Keynest relay point

    • Several days before your departure, you will receive an email telling you where to drop off your keys as well as the drop-off code.

    • It is essential that you check the opening times so that you can make the necessary arrangements.

    • Failure to return the keys will result in charges being deducted from your security deposit. You could be held responsible in the event of an incident, loss, squatting or problems with the next tenant.

    • If you have any questions, please contact us as soon as possible so that we can plan ahead.

  • Option 2: Leave your keys in the flat when you leave

    • If your flat is not subject to the Keynest drop-off process, you must leave your keys in the flat when you leave.

    • ⚠️ If you are the last person to leave and you have not received any special instructions from us, please contact us so that you do not slam the door with all the keys inside. This negligence could result in locksmith fees being charged to you.

  • Return all badges and keys received (room, front door, letterbox, etc.)

  • If you have a digital key, we will deactivate it.

💰 Financial aspects

  • Last rent:

    • Prorated according to your departure date, if you paid the full month in advance, the excess will be refunded when settling your security deposit

  • Security deposit:

    • Refund within 1-2 months

    • Possible deductions for damages

    • SEPA zone IBAN required

    • Final settlement will be sent after verification and validation by our teams

⚠️ Points of attention

  • Don't forget:

    • Forward your mail

    • Settle any outstanding debts

    • Notify administrations of your change of address

    • Cancel SmartGarant if you subscribed to the guarantee

  • Mistakes to avoid:

    • Leaving without inventory

    • Leaving belongings behind

    • Neglecting cleaning

    • Forgetting to return keys or leave with it
